Japan Unplated Inbox privacy notice

This notice covers the private inbox tool used by the editors of The Untranslated Pantry and Japan Unplated.

Gmail data the tool reads

The tool requests Google's gmail.readonly permission. It can read message headers, message text, thread identifiers, and attachment metadata from mail addressed to the publication. It does not download attachments. It cannot send mail, delete messages, mark messages as read, or change Gmail labels.

How the data is used

Editors use the data to identify incoming publication mail, classify and summarize messages, and prepare unsent reply drafts. Selected message content may be processed by OpenAI's Codex service when an editor runs those tasks. The publication does not sell Gmail data or use it for advertising.

Storage and retention

Gmail remains the source mailbox. The tool does not keep a second archive of raw messages. It stores processed Gmail message identifiers and unsent reply drafts on the publication owner's Mac, outside Git. OAuth credentials are kept in the publication's restricted 1Password Vault.

Sharing and access

Access is limited to the publication owner and authorized newsroom operators. Service providers receive data only when needed to perform an inbox task requested by an operator and handle it under their own service terms.

Revoking access or requesting deletion

The publication owner can revoke Google access from the Google Account connections page. A correspondent may ask the publication to remove locally stored reply drafts that contain their message content.
